Affinity Dental AI Review Agent

1. Introduction

These Terms of Service govern the use of the Affinity Dental AI Review Agent (“Application”), an internal software application operated by Affinity Dental in Winnipeg, Manitoba, Canada.

The Application is designed to assist authorized Affinity Dental personnel with managing customer reviews through Google Business Profile.

2. Authorized Use

The Application is intended exclusively for authorized Affinity Dental personnel.

Access is restricted to individuals who have been granted appropriate permissions.

Users must maintain the confidentiality of their account credentials and use the Application only for legitimate business purposes.

3. Application Services

The Application provides functionality including:

• Importing and organizing Google Business Profile reviews.
• Generating AI-assisted responses.
• Reviewing, editing, and approving responses.
• Automatically publishing eligible responses according to configured rules.
• Monitoring review management activities and system performance.

Features may be modified, suspended, or discontinued as operational requirements change.

4. Artificial Intelligence

The Application uses artificial intelligence to assist with generating responses to customer reviews.

AI-generated content may contain errors or inaccuracies.

Authorized personnel are responsible for configuring automated response settings and reviewing responses when required.

The Application is not intended to provide medical advice, diagnoses, or treatment recommendations.

5. Third-Party Services

The Application integrates with third-party services, including:

• Google Business Profile
• Google Cloud
• OpenAI

Use of these services is subject to their respective applicable terms, policies, and availability.

Affinity Dental does not control the operation or availability of third-party services.

6. Privacy and Data Protection

Information accessed or processed through the Application is handled in accordance with the Affinity Dental AI Review Agent Privacy Policy.

The Application accesses Google Business Profile information only through authorized connections.

Users must not intentionally use the Application to disclose confidential patient information or violate applicable privacy legislation.

7. Acceptable Use

Users must not:

• Access the Application without authorization.
• Attempt to bypass security controls.
• Use the Application for unlawful purposes.
• Misrepresent customer reviews.
• Publish responses containing confidential patient information.
• Use the Application in violation of applicable Google policies.

8. Availability and Limitations

Affinity Dental makes reasonable efforts to maintain the Application’s functionality.

However, continuous availability and error-free operation are not guaranteed.

Functionality may be affected by internet connectivity, third-party services, API restrictions, maintenance, or technical issues.

9. Changes to These Terms

Affinity Dental may update these Terms of Service to reflect changes in functionality, operational requirements, or applicable laws.

10. Governing Law

These Terms of Service are governed by the applicable laws of Manitoba and Canada.
